A Front Desk Coordinator is needed for our dynamic co-working office space for lawyers. The ideal candidate will have a passion for providing exceptional customer service, as well as experience in an administrative capacity. They will also provide admin and marketing assistance to members and to boutique law firm, as needed.

About You
• Minimum 1-3 years reception and/or professional services experience preferred
• Strong interpersonal skills and customer service focus
• Professional and polite demeanor
• Punctuality and able to handle office closing and opening duties independently
• Team player who communicates clearly in a close team environment
• Flexibility to adapt to innovation and change; continuous improvement
• Organized and capable of handling small projects in an efficient manner
• Personal responsibility for each assigned task and follow through to completion by the assigned deadline
• Positive attitude and genuine passion for the job and the company’s success

• Must enjoy performing responsibilities within a front office area
Key Responsibilities
• Reception duties including answering all incoming and outgoing phone calls and faxes
• Opening and closing duties by assigned office hours each day (Monday through Friday, 8:30 am-5:30 pm)
• Greet clients with an immediate and sincere welcome
• Maintain conference room reservations and organization
• Coordinate with sub-tenants and address requests on a daily basis
• Manage café and food and beverage needs
• Retrieve and distribute mail daily, as well as FedEx runs and delivery acceptance
• Manage and order office supplies
• Track and report café and office supply budgets
• Assist with ad hoc administrative duties and projects as needed by staff, including CRM and database entries/updates
• Provide professional and high-end service to all clients
• Assist with events and marketing campaigns, as needed
• Compile weekly and monthly reports for Leadership team
• Conduct tours and manage leads for the coworking office space

Technical Requirements
• Associate or bachelor’s degree required
• Experience with answering multi-line telephones preferred
• Strong computer skills including proficiency in Word, Excel, and PowerPoint
• Experience with Apple/Mac is helpful
• Familiarity with CRM database programs, or a willingness and ability to learn new software
• Must be able to pass a criminal and credit background check and drug screen
